A. GENERAL
  1. What is CeRMIN?

    CeRMIN (or Common e-Government Repository & Managed Information Netcommunity), is the Sarawak State Government"s knowledge sharing system. In line with the Government"s vision for a knowledge based public service, CeRMIN will enable State employees to publish, share, search and retrieve work related information and knowledge in text, documents, graphics, audio and video formats.

    CeRMIN is officially launched by YAB Pehin Sri Haji Abdul Taib, Chief Minister of Sarawak during the State Civil Service Day in November 2008.

  2. Why CeRMIN?

    CeRMIN will help promote the spirit of resource sharing among state government servants, enhance individual skills and promote self-learning. This system encourages the employees to contribute creative and innovative ideas to improve the processes and services of the government.

  3. Who may access CeRMIN?

    All State Government Servants who have SarawakNet email accounts will be able to access the system.

  4. If I am not a SarawakNet user, can I access the system?

    Please request a SarawakNet account from your section/department head.

    If I have forgotten my User ID and Password, what should I do? For all operations relating to your user ID and password, please follow the same procedure as with your SarawakNet email account.

  7. What about privacy? Is my access and my usage of CeRMIN being monitored?

    System usage information is collected by the system for statistical purposes only.

  8. What are the benefits and privileges I get as part of CeRMIN?

    A member of CeRMIN will have access to the collections within the system and may contribute to the growth of the knowledge repository.

  9. What is the scope of the search function?

    The search for CeRMIN searches only approved submissions by the contributors. Submissions that are yet to be approved are not searchable.

  10. What is Submissions?

    It is a place where all users can contribute to increase the content of CeRMIN by way of the process of submissions and approval. You will be able to see all your past submissions and edit the description for the current submissions as well.

  11. What are the functions that are available to me?

    As a normal member of CeRMIN, you will have access to the search function to search for existing knowledge resources. You may also access the Submission function to contribute and share new resources with all the state government agencies.

  12. Who is the care taker/owner of CeRMIN?

    Pustaka Negeri Sarawak is the care taker of the CeRMIN system while the owner of the system is the Unit Permodenan Perkhidmatan Negeri (UPPN), Chief Ministers Department of Sarawak.

  13. Who should I contact if I have any feedback, comments or complaints?

B. SEARCH
  1. What is the Search field for?

    This is a quick and easy way to search our collection and is the recommended method for anyone who is unsure of what is in our collection or who wishes to search for everything pertaining a certain keyword, collection or subject.

  2. What is the Advanced Search for?

    The Advanced Search offers additional fields for making searches more precise and to obtain more meaningful results. This search method allows our collection to be searched based on the combination of title, author, subject, publisher, collection or media type.

  3. What is the Browse search?

    This search method allows one to browse records based on Media Type, Event Name, Year of Event or File Creation Date, and Contributor Name or Department.

  4. How to narrow down my search result?

    Filter Search allows you to search within the search results that were retrieved from the keyword Search, Advanced Search or Browse Search; this narrows down the search result making your searches more precise.

  5. What is "Save Search" for?

    Save Search provides a method of your search parameter for future reference. Therefore, if you have a search keyword that you use often, you may save it and run it at a future date.

  6. How to view the content of a file?

    Click on the title or file name or thumbnail of a file, then click on the corresponding view or download icon within the content details view. If you have the permission, you may have access to view or download the file for your reference.

  7. Why I cannot access or view the digital resource?

    Your inability to access or view the digital resource might be due to the following reasons

    • Your session has expired
    • You are not signed in
    • You do not have the permission to access this resource
  8. How to go back to the search main page?

    Click on the CeRMIN banner at the top of the screen will bring you to the main page of the search.

  9. Are there any search operators that can be added to the search criteria?

    You may use the Advanced search to indicate a search term must be available on each of the fields. For example, a title with "Sarawak" and subject with "water" will search for contents with both the title containing "Sarawak" AND subject containing "water".

    For different terms within a single field, you may use space to separate the terms. The search engine will rank your results based on relevance.

C. MY SUBMISSIONS
  1. Why my submission cannot be found using the search?

    A submission will only be searchable once it has been approved by the metadata controller of the system (or the record maintainer).

  2. What files may be submitted?

    Any non-sensitive files that will enhance the knowledge and skills of Sarawak State government servants may be submitted.

    However, please do convert documents and slides into "searchable PDF" or at least PDF file format for submission.

    For photos, the common image types are accepted for materials such as newspaper cuttings, photos, posters and etcetera.

    For video content, it is advisable to use MP4 format. Please do resize your video content to be less than 100MB or split the video to different parts if it is too large/long. If the file size is too large, it will cause your upload to take longer as well as the downloads for other users. Large files will also cause high network usage within the state government network. So it is prudent to downsize your video files into acceptable size (100MB or less) or quality (320p or less).

    For audio content, currently all audio formats (i.e. MP3, WMA) are accepted.

  3. I have more than one file to submit. What is the best way to submit multiple files?

    Please upload files of the same item/title/package using the same title. Do not compress (zip) the files. Rather, submit them one-by-one. Place a remark to indicate if a file is part number of a total in the "Instruction to Metadata Controller" field in the metadata for file submission.

  4. My submission has been rejected! What should I do?

    Please resubmit your resources with your files in the proper format as mentioned above. Or you may contact the metadata controller at Pustaka Negeri Sarawak for further details.

  5. I want my submissions to be accessible only by certain people. How do I do that?

    The system is intended to be used for resource sharing by all state government servants. However, if there are certain documents you wish to share only with certain people, please indicate this in the submission form under "Instruction to Metadata Controller" field.

  6. My submission is related to a certain event. How do I enter it into the submission form?

    After a file has been uploaded for submission, click on the file name again to see the metadata editing screen. You will be able to find the Event Name and other event related fields for you to fill in. You will be able to do this before a submission has been approved.

  7. I do not have certain information that the submission form requests. What should I do?

    Only fields with asterisks are mandatory fields that need to be filled. Optional fields may be left blank if there is no data available.

  8. I have already submitted my resources. When will I be able to search for it?

    Your submission will only be searchable once our metadata controller approves it. Any new submissions will trigger an email notification to our metadata controller. You will be notified through email once your submission has been approved/rejected.

  9. There is one approved submission that I want to remove from the system. How can I do this?

    Please contact us to do so. Please refer to the contact information from the previous question on how to contact us.
